Time reporting

Time reports are written in Project | Time reporting

The Calendar shows the calendar for the month. All employees are linked to a calendar that shows the reporting requirement at the bottom of the screen. Based on the reporting requirement for a specific day and the time reported so far, different colour codes are used to show whether the requirement has been met or not.

Green check Means that the day has been fully reported. Days without reporting requirements, such as weekends or public holidays, are marked green from the outset.
Red circle Means that the day does not meet the reporting requirements that have been set.
Orange exclamation mark Means that the day is marked as Not ready. Not ready days are not updated to the accounting system.
Black-White Means that the day is a future day.

If time has been reported for a particular day, this is indicated by a line under the date. Clicking on the day displays a summary of the reported time for that day in the right-hand window. The window at the bottom shows a summary of how many hours have been reported for that day, the reported time so far during the month, and the total reported time for the month. Comp time can be set on the employee (System| Projects | Backoffice | Base registers | Employees) and the balance will be displayed next to what has been reported and the requirements. Browse between months with the arrow surrounding the month’s name. Open a day to report time either by double-clicking on the day or selecting the day and clicking Open Quick search in Time reporting is activated by right-clicking inside the daily report, which brings up a pop-up window where quick search can be turned on.

Project You can either write the project in the field or use the search list function to the right in the field. Only own Tick Only own to only display projects where you are the account manager, project manager, production manager or a member of the project team. Group Projects belonging to the selected group are displayed. Latest The most recent projects used in Time Reporting are displayed. The number of most recent projects is set in Settings by clicking on the user icon at the bottom left of Marathon. Sort by Master Master projects are displayed at the top with underlying projects linked to the master projects below. Code The work code can either be entered directly or retrieved from the search list. Hours 1 means one hour and 0.5 means half an hour. Less than a quarter of an hour, i.e. 0.25, is not recommended to be entered. Comment In the comments field, you can write a comment of up to 1,000 characters. The comment is visible on the project in Clients and Projects, certain lists, and can be printed in reports. Other The other code can either be entered directly or retrieved from the search list. Quant. Quantity of the other code item Completed If the reporting requirement is not met on a given day, click the Completed box. The day will then turn green in the calendar. If automatic updating of times is used, Completed must be checked in order for the day to be updated. Not ready The Not ready box is used if the day is not complete. When the day is stopped, incomplete rows can be saved until further notice. Not ready days are orange in the calendar and cannot be imported into the accounting department. New row Inserts a new row above the row that is selected. Delete row Deletes the selected row Copy row When copying a row, a new row is inserted with the contents below the one that was copied, and subsequent rows are moved down one step. Import from resource planning Possibility to retrieve projects, comments and hours from resource planning. Save template A reported day can be saved as a template and used for future reporting. Import template The saved template can be retrieved when reporting. Fill up with absence Using this button, the system can automatically add absence time to meet reporting requirements and mark the day as green. For this to work, the company must have activated the function. It is usually recommended to click the Completed box on the day instead. Fetch from earlier day You can copy an entire daily report using this button, which opens a menu showing the last ten days. Cancel/Save The daily report is always submitted using Cancel or Save Once the time report rows have been updated by the finance department, they turn a lighter grey colour and cannot be changed. However, it is possible to add rows to the time report.

Multiple days If several days are to have the same information, you can use the Multiple days instead. Clicking on the days turns them light blue, which means they are selected. This is also visible in the right-hand window, where the selected days are displayed. (The arrows above the calendar can also be used to select times in other months.) Once the days to be reported have been selected, fill in the project, work code, hours and any comments. By ticking the Fill box, the system fills in the selected days with time so that the reporting requirement is met. Finish by clicking Save. Reconciliation Under Reconciliation, you can see an overview of who has reported their time and who has not. (The same list is also available under Project | Reports). Depending on your authorisation, you may also be able to open other employees' time reports. Days that are green have been fully reported, yellow days have been marked as Not ready (and cannot be imported into the financial system), and red days have not been fully reported. Future days are green. The list can show a group, staff category or everyone who has reported time.


Project estimate If the project estimate is allocated per employee, the estimated hours are shown under Project Estimate.

The project estimate shows all items for which the employee has been estimated. Each combination of project and work code appears as a separate row in the list, together with a description if applicable. The number of hours that have been estimated and the number of hours that have been registered are then shown. Depending on how accurately the cost estimate has been formulated, the start and end dates are displayed. The table also has a box per row for checking off records, and a selection that shows/hides checked records Normal Start and end dates are filled in according to the indication in the date field. Relative The start and end dates are specified by the relative number of days until the start date. This means that if you have a project that is scheduled to start on April 25th and today's date is April 15th, ‘10’ will be entered in the start date field for the project in question. This makes it clear which projects should be prioritised. Employee estimate The Employee estimate shows the cost estimate entered by the accounting department. The list shows estimated hours, actual hours and the difference between them. The budgeted amount, actual amount, adjusted actual amount, net actual amount and difference are also shown. Resource planning Resource planning shows what has been planned for the week by the administrator or finance staff. (Registered in Project | Project, tab Resource planning)

Here you can compare the planned time for projects with the reported time, week by week. Client/Project The Client and Project tabs show the time report on a monthly basis per project. The left half of the image shows the projects, the hours reported by code, the total for each project separately, and reported absences. The total reported time for the entire month is shown at the bottom. If a row is selected, detailed information about the report is shown on the right side of the image. Comments from the day list are also shown here Day list The day list shows the reported time per day for a specific month. For each day, you can see which projects, codes and hours have been reported, the accrued value of the reported time and any comments. After each day, the total number of hours for the day is summarised and at the bottom of the daily list you can see the total number of hours and amount for the entire month.

Week summary The week summary shows the time reported during a week. Click on the arrows surrounding the week number to scroll forwards or backwards in time. The week summary shows the project, code and number of hours reported for each project. The Total column on the far right shows the total number of hours reported for each project during the selected week. Change employee Under Change employee, another employee's time report can be opened (authorisation required).
